Roberta Virzi PT is the controller for the personal data described in this Privacy Notice.
2. What this Privacy Notice covers
This Privacy Notice covers personal data processed when you visit the website, book a discovery call, contact Roberta Virzi PT, complete a safety screening, intake form, or onboarding form, become a client, receive personal training or online coaching, communicate by email, forms, messages, calls, or other agreed channels, receive invoices, or make payments.
The separate Cookie Policy explains website cookies and similar browser technologies.
3. Website use
You can browse this website without creating an account, filling in a form, or making a payment through the site.
The website currently does not contain contact forms, client login functionality, online payment functionality, embedded booking widgets, social media embeds, map embeds, or video embeds.
The website includes external links to Calendly, Instagram, TikTok, Facebook, Google Reviews, and EREPS. If you click an external link, that provider may process your data according to its own privacy practices.
4. Hosting and technical information
The website is hosted through Vercel.
Vercel may process technical information needed to deliver, secure, and operate the website, such as IP address, browser and device information, pages or files requested, timestamps, server request logs, and security and operational logs.
This is necessary to provide the website, maintain security, prevent misuse, and ensure technical reliability.
5. Google Analytics 4
The website uses Google Analytics 4 only if you accept analytics cookies.
Google Analytics 4 may process technical and usage information such as page URL and page path, page title, browser and device information, approximate location derived from technical data, timestamps, and analytics identifiers.

If you contact Roberta Virzi PT by email, social media, message, phone, or another channel, the information you provide may be processed to respond to you, manage the inquiry, and take steps before entering into a client relationship.
8. Safety screening, intake, and health information
Before or during coaching, you may be asked to complete safety screening, intake, or onboarding forms.
Safety screening is designed to collect only information reasonably necessary to assess whether planned exercise can be undertaken safely or may require adaptation, postponement, or appropriate medical or physiotherapy advice or clearance.
This may include information about a health condition, injury, recent surgery, pregnancy or post-partum circumstance, physical limitation, concerning symptoms, or medical or physiotherapy advice where this may affect safe participation.
Where you identify a relevant concern, you may be asked to provide only the exercise-related limitation or precaution needed to plan training safely. You are not routinely asked to provide detailed diagnoses, medical histories, medical reports, or medication lists.
Roberta Virzi PT may keep a brief record of the safety decision taken, such as whether training was adapted, postponed, or whether appropriate medical or physiotherapy advice or clearance was requested.
Health-related information is treated with additional care and is used only where necessary for safety, suitability, and the responsible provision of personal training or coaching.
9. Coaching and client communication
If you become a client, Roberta Virzi PT may process information needed to provide and manage the service, such as contact details, goals, preferences, progress notes, training plans and session notes, attendance, scheduling, package information, client communications, feedback, and agreed actions.
This information is used to provide personal training, online coaching, programme planning, progress support, scheduling, administration, and client relationship management.
10. Payments and invoicing
Roberta Virzi PT may process payment and invoicing information, such as name, billing details, invoice records, payment status, package or service purchased, and accounting records.
This information is used for invoicing, payment administration, accounting, tax compliance, and business record keeping.
11. Service providers
Roberta Virzi PT may use service providers to operate the business and provide services. Depending on how you interact with Roberta Virzi PT, relevant providers may include Vercel for website hosting and technical operation, Google Analytics 4 for optional website analytics after consent, Calendly for booking calls, Google Workspace for email, forms, documents, and file storage, and Moneybird or another accounting and invoicing provider for invoicing and administration.
External platforms such as Instagram, TikTok, Facebook, Google, and EREPS may process data independently when you visit their websites or interact with Roberta Virzi PT through those platforms.
12. Legal bases
Depending on the situation, Roberta Virzi PT processes personal data on one or more of the following legal bases: performance of a contract or steps before entering into a contract; legitimate interests, such as operating the business, responding to inquiries, securing the website, managing bookings, and providing client support; consent, for optional analytics cookies and where consent is specifically requested; legal obligation, for tax, accounting, legal, or regulatory requirements; and explicit consent where health-related information is processed for safety screening, suitability, and appropriate training adaptations.
13. Retention
Personal data is kept only for as long as reasonably necessary for the purpose for which it was collected, unless a longer retention period is required by law.
In general:
- inquiry and discovery-call information for individuals who do not become clients is normally deleted within 6 months after the last relevant contact;
- safety screening, health-related information, safety decisions, training plans, progress notes and coaching records are normally retained for up to 2 years after the client relationship ends, unless a longer period is reasonably necessary for a specific legal or safety reason;
- routine scheduling and communication information may be deleted earlier when it is no longer needed;
- cookie consent preferences are stored for up to 180 days;
- website analytics data is retained according to the analytics settings in use; and
- invoices, accounting records and other information subject to statutory financial record-keeping requirements are retained for the period required by applicable law, which is generally 7 years for the relevant business administration.
Where information is no longer necessary, it will be deleted or anonymised where appropriate.
14. Access and sharing
Access to personal data is limited to what is necessary for Roberta Virzi PT to operate the business and provide services.
Personal data is not sold.
Personal data may be shared with service providers where needed for hosting, booking, communication, file storage, forms, invoicing, accounting, or other business operations.
