Important terms for booking, purchasing, or using Roberta Virzi PT services.

These Terms & Conditions apply to services provided by Roberta Virzi PT.

By booking, purchasing, or using a service, you agree to these Terms & Conditions.
2. Services
Roberta Virzi PT provides 1-on-1 Personal Training, Initial Training Consultations, Duo Training, Online Program & Progression, Online Coaching, personalised training programmes, programme review and progression services, and related coaching support.
Services may be provided in person, online, outdoors, at your home, at a rented gym, or at another agreed training location.
The exact service, price, package, number of sessions, duration, validity period, location, commitment period, and included support will be confirmed before purchase or before the service starts in the relevant offer, booking confirmation, invoice, email, or client communication.
3. Discovery call, consultation, and onboarding
The process may start with a discovery call to discuss your goals and whether the service is a suitable fit.
Before a consultation, session, package, or coaching programme starts, you may be asked to complete required onboarding documents, including client intake, health and safety screening, and informed consent.
These Terms & Conditions and the Privacy Notice will be made available before you complete the required onboarding process and before entering into the relevant service agreement.
A booking, consultation, session, package, or coaching programme is confirmed only once the required payment and required onboarding documents have been received, unless otherwise agreed in writing.
4. Health, safety, and suitability
You are responsible for providing accurate and relevant information about any health condition, injury, recent surgery, pregnancy or post-partum circumstance, physical limitation, concerning symptom, or medical or physiotherapy advice that may affect your ability to participate safely in the planned exercise.
You must promptly inform Roberta Virzi PT of any relevant change that may affect safe participation.
Roberta Virzi PT may adapt, postpone, pause, stop, or decline training where there are reasonable safety concerns or where medical or physiotherapy advice or clearance is considered appropriate.
Personal training and coaching are limited to personal training and general fitness or wellness guidance. They do not constitute medical advice, diagnosis, physiotherapy, rehabilitation treatment, dietetic treatment, or mental health care. You should seek advice from an appropriately qualified healthcare professional where needed.
5. Client responsibilities
You agree to:
- provide accurate and complete information;
- update Roberta Virzi PT about relevant health or safety changes;
- follow safety instructions;
- use suitable equipment and surroundings;
- ask questions if you do not understand an exercise, programme, or instruction;
- avoid training while unwell, injured, or under the influence of alcohol or drugs where this may affect safety;
- treat communication and appointments respectfully.
6. Payment
Prices and payment terms will be confirmed before purchase or before the service starts.
Unless otherwise agreed in writing, standalone consultations and individual sessions must be paid before the scheduled appointment.
Unless otherwise agreed in writing, in-person packages must be paid in full before the first package training session.
Online training services, including Online Program & Progression and Online Coaching, must be paid in full before the relevant programme or coaching period begins, according to the agreed monthly, package, or commitment terms.
Roberta Virzi PT may pause, refuse, or delay services if payment is overdue or if required onboarding documents have not been received.
7. Cancellation and rescheduling
If you need to cancel or reschedule a consultation, session, or appointment, you must give at least 24 hours' notice.
If at least 24 hours' notice is provided, the session may be rescheduled without additional charge. For package sessions, the session will remain available within the applicable package validity period. Any replacement appointment is subject to current availability, and the same date, time, location, or recurring slot cannot be guaranteed.
If you cancel or request to reschedule less than 24 hours before the scheduled start time, or do not attend the appointment, the session will be considered used. For package clients, the session will be deducted from the package. For standalone sessions, the payment is non-refundable.
Roberta Virzi PT may, at its discretion, allow a late-cancelled session to be rescheduled in exceptional circumstances. Any such exception does not create an entitlement to future exceptions.
If Roberta Virzi PT needs to cancel or reschedule a session, the session will not be lost and a reasonable alternative appointment will be offered based on mutual availability.
Duo Training
Each participant's attendance and cancellation are handled individually.
If one participant cancels or requests to reschedule with at least 24 hours' notice, their session will remain available within the applicable package validity period. The other participant may still attend the scheduled session, subject to agreement and availability.
If one participant cancels less than 24 hours before the scheduled start time or does not attend, that participant's session will be considered used and deducted from their package. The other participant may still attend and train as scheduled.
If both participants cancel or request to reschedule, the standard cancellation and rescheduling rules apply individually to each participant.
8. Packages, booking, commitments, and expiry
If you purchase a package, online training period, or commitment, the applicable package details, commitment period, validity period, and included support will be confirmed before purchase.
For personal-training packages, availability will be discussed before purchase and the included sessions will normally be scheduled in advance based on the agreed training frequency and mutual availability.
Unless otherwise agreed before purchase, a 4-session personal-training package is valid for 3 months and a 10-session personal-training package is valid for 6 months, calculated from the date of purchase.
Unless otherwise agreed before purchase, the same validity periods apply to Duo Training packages: a 4-session Duo Training package is valid for 3 months and a 10-session Duo Training package is valid for 6 months, calculated from the date of purchase.
Duo Training packages are purchased for training together. Each participant has their own package/session entitlement, and attendance or cancellation is handled individually in accordance with Section 7.
Where a package includes a credit for an Initial Training Consultation, the applicable consultation fee will be credited toward the eligible package as specified in the service offer provided before purchase.
Consultation-credit eligibility varies by service and package. The consultation remains a separate service and does not count as a package session.
A multi-month online package is purchased for the agreed commitment period and is not a month-to-month subscription. Choosing to stop participating before the end of the agreed commitment period does not automatically create an entitlement to a refund for the unused remainder, subject always to the refund provisions in these Terms and any statutory consumer rights.
Training frequency may vary depending on your goals, preferences, level of independent training, schedule, and mutual availability.
If a scheduled package session is subsequently rescheduled, the replacement appointment is subject to current availability. Rescheduling does not restart or automatically extend the package validity period.
You are responsible for allowing sufficient time to use or reschedule your remaining sessions within the applicable validity period. If sessions are postponed or rescheduled until close to the expiry date and suitable replacement availability is no longer available, the package validity period will not automatically be extended.
If Roberta Virzi PT's own unavailability materially prevents you from completing the package within its validity period, a reasonable extension will be provided.
Roberta Virzi PT's availability may vary due to holidays, illness, professional commitments, or other reasonable periods of absence.
Unused sessions may expire at the end of the applicable validity period, subject to your statutory rights and any extension agreed under these Terms.
Packages and services are personal to you and may not be transferred to another person unless agreed in writing.
9. Refunds
Refunds are not provided for services that have already been delivered.
For unused sessions, packages, or coaching periods, refund requests will be assessed reasonably, taking into account the service purchased, work already performed, scheduled commitments, package validity, cancellation terms, and any legal rights you may have.
This does not affect your statutory consumer rights.
10. Consumer right of withdrawal
If you buy a service online, by email, by phone, or otherwise at a distance as a consumer, you may have a statutory 14-day right of withdrawal under EU and Dutch consumer law.
The withdrawal period generally starts on the day after the service contract is agreed.
If you ask for the service to begin during the 14-day withdrawal period, you may be required to pay for the part of the service already provided before you withdraw.
If the service has been fully performed within the withdrawal period with your prior express consent and acknowledgement that you lose the right of withdrawal once the service is fully performed, you may no longer have the right to withdraw.
Any statutory rights you have under applicable consumer law remain unaffected.
11. Online training and independent training
Online training services may include personalised programming, programme reviews and progression adjustments, exercise substitutions, remote communication, check-ins, technique video feedback, additional programme revisions, and other agreed support, depending on the service purchased.
The specific level of support, frequency of check-ins, video-feedback allowance, response times, programme revisions, and other inclusions will be confirmed before purchase in the applicable service offer.
For online training services and independent training, you are responsible for ensuring that you have a safe training environment, suitable equipment, and enough space to perform exercises.
You should stop exercising and seek medical advice if you experience chest pain, dizziness, severe pain, unusual shortness of breath, or other concerning symptoms.
You are responsible for using your own judgment when training independently and for asking questions if an exercise, instruction, or progression is unclear.
12. Results
Fitness, strength, body composition, mobility, habit, and wellbeing outcomes vary between individuals.
Roberta Virzi PT does not guarantee specific results. Progress depends on many factors, including consistency, health, lifestyle, sleep, nutrition, stress, adherence, and individual response to training.
13. Liability
Roberta Virzi PT will provide services with reasonable care and skill.
To the extent permitted by law, Roberta Virzi PT is not liable for injury, loss, or damage resulting from inaccurate or incomplete information provided by you, failure to follow instructions, unsafe training environments, use of unsuitable equipment, independent training outside agreed guidance, or circumstances outside reasonable control.
Nothing in these Terms limits liability where it would be unlawful to do so.
14. Privacy
Roberta Virzi PT processes personal data according to the Privacy Notice.
The Cookie Policy is also available.
15. Changes to services or Terms
Roberta Virzi PT may update services, packages, or these Terms & Conditions from time to time.
The version that applies to your purchase or service is the version provided or made available at the time of booking, purchase, or renewal, unless a change is required by law or agreed with you.
16. Ending a service or coaching relationship
You may choose to stop participating in a service or coaching relationship at any time. Stopping participation does not automatically cancel payment obligations or create an automatic refund for the unused remainder of a fixed multi-month package. Any cancellation of a package, coaching commitment, or other ongoing service, including any request concerning unused sessions or payments, will be handled in accordance with the applicable service terms, the cancellation and refund provisions in these Terms & Conditions, the withdrawal rights in Section 10, and your statutory consumer rights.
Roberta Virzi PT may pause or end a service where continuing would reasonably be considered unsafe, where the requested service falls outside professional scope, where required information or payment is not provided, or in cases of serious or repeated inappropriate conduct.
Where appropriate, Roberta Virzi PT may consider reasonable alternative arrangements, such as rescheduling, extending a validity period, pausing a service, or changing the service format. Any alternative arrangement is subject to agreement and, where relevant, availability.
Nothing in this section affects any statutory cancellation, withdrawal, refund, or other consumer rights that apply by law.

Roberta Virzi PT will try to respond and resolve concerns in a reasonable way.
18. Governing law
These Terms & Conditions are governed by Dutch law.
Any mandatory consumer protection rights under applicable law remain unaffected.
